    Key Responsibilities

    Document Management

    • Responsible for managing all documents related to the proposal. This includes organizing, storing, and maintaining versions of drafts, templates, and final submissions.
    • Ensure that all documentation is correctly formatted, named, and stored in line with the company’s proposal management system or requirements.

    Coordination and Scheduling

    • Coordinate team meetings, ensure key milestones are met, and manage timelines to prevent delays.
    • Tracking deadlines, scheduling proposal reviews, and facilitating team communication to keep everyone on the same page.

    Communication and Liaison

    • Acting as a central point of contact for all team members involved in the proposal process, the Proposal Administrator facilitates clear and effective communication between various departments.

    Proposal Submission

    • Ensures that the submission is done correctly. Whether it’s via an online portal, email, or physical delivery, the administrator is responsible for ensuring that the proposal is submitted by the deadline and in the required format.
    • Track the receipt of the submission and ensure confirmation is received from the client or recipient.

    Responsible for managing the ordering activity for the organization, including timely and accurate entry and processing of all orders received.

    • Implement and administer procedures to enhance operations
    • Receive, prioritize, process and identify incoming orders according to the sales policy and customer requirements
    • Allocate and track orders and returns
    • Coordinate with logistics team until order fulfilment
    • Coordinate with collection team until invoice issuance and receipt at customer’s

    Qualifications

    • Education: Bachelor’s degree (preferably in Business Administration).
    • Experience: 1-3 years in a similar role.
    • Languages: English (required); Arabic (preferred); Italian (optional).
    • Certificates: Business Writing, Microsoft Office (Excel, PowerPoint, Word).

    Skills

    • Excellent verbal and written English communication.
    • Proficiency in MS Office (Word, Excel, Outlook).
    • Strong organizational and time management skills.
    • Ability to coordinate multiple tasks and prioritize effectively.
    • Keen attention to detail and accuracy.
    • Teamwork-oriented with good interpersonal skills.
    • Fast learner with a focus on self-improvement.
